Executive Assistant
at Oregon Museum of Science and Industry in Other Cities
The Oregon Museum of Science and Industry is looking for an Executive Assistant.
ESSENTIAL DUTIES & RESPONSIBILITIES:
• Act as a liaison between the Finance, HR and Volunteer Services Departments and museum staff and outside contacts including general public, vendors, partners and other professionals.
• Provide clerical support to the Vice President including but not limited to calendar management, coordinate meetings, greet guests, provide telephone service, writing and preparing correspondence, filing and other administrative tasks.
• Coordinate, maintain and monitor department’s cost accounting system including budget spreadsheets, monthly financial reports, and various financial forms.
• Assist with preparation of various spreadsheet analyses, reports and presentations.
• Coordinate meetings/conferences and other activities.
• Design and maintain office systems to help the departments operate more efficiently.
• Record and execute meeting minutes.
• This position is 0 non-exempt, paid 0 hourly 1 exempt 1 salaried
• This position is 1 regular full-time 0 regular part-time 0 special project, scheduled for 40 hours/week.
Working Conditions:
• Physical Demands: 60% Sitting 30% Standing 10% Lifting/Carrying/Pushing/Pulling 30 Pounds
KNOWLEDGE/SKILLS/ABILITIES:
BASIC REQUIREMENTS:
• Highly self-motivated, professional and organized.
• Excellent communication skills, both oral and written, and ability to maintain a high degree of confidentiality.
• Ability to exercise initiative and good judgment; possess excellent problem-solving, clerical, administrative and interpersonal skills.
• Ability to effectively manage and track multiple projects simultaneously, with strong organizational and project management skills, work well under pressure with a high degree of accuracy and meet stringent deadlines without direct supervision.
• Proficiency in Microsoft Word, Excel, Outlook and Power Point required.
• Thorough knowledge of office practices and procedures and business writing, working knowledge of accounting/budgeting principles, procedures and standards.
• Attention to detail and accuracy with the ability to manage paper flow.
EDUCATION & WORK EXPERIENCE:
ADDITIONAL REQUIREMENTS/PREFERENCES; INCLUDING LICENSES AND CERTIFICATIONS:
BASIC REQUIREMENTS:
• Pre-employment and/or pre-duty checks, such as criminal background check and reference checks.
PREFERENCES:
• Bachelor’s degree or equivalent combination of education and experience.
• Accounting/Bookkeeping experience.
